Information we collect

We collect information you give us when you:

• Contact us through website forms, phone, email, or text
• Schedule an appointment
• Complete a Scope of Appointment or enroll in a plan through us
• Ask us to compare plans, drugs, doctors, or pharmacies

That may include:

• Name, phone, email, and mailing address
• Date of birth and Medicare identifiers you choose to share (for example MBI)
• Plan, doctor, pharmacy, and medication information needed to compare coverage
• Call recordings, when we tell you the line is recorded
• Website usage data (pages viewed, approximate location from IP, cookie preferences)

How we use it

• Provide Medicare consultation, comparison, and enrollment help
• Confirm doctors, drugs, and pharmacies against plan directories and formularies
• Keep records required of a licensed insurance producer and CMS third-party marketing organization (TPMO)
• Schedule appointments and send service messages you asked for
• Operate, secure, and improve this website
• Comply with law, carrier, and CMS requests

Who we share it with

We do not sell, trade, or rent your personal information. We share it only:

• With insurance carriers, for enrollment you requested
• With Medicare / CMS and state insurance regulators when required
• With service providers that run systems we use, under their contracts with us (see below)
• When required by law or to protect our rights

Systems and service providers

These are the systems this site and our brokerage operations actually use. Older copies of this policy mentioned Netlify; the public site is hosted on Vercel.

• Website hosting: Vercel
• Contact-form delivery: FormSubmit.co and/or SendGrid (our email API)
• Agency CRM (client files): operator-controlled NocoDB
• Appointments: Setmore
• Email and calendar: Google Workspace
• Newsletter (only if you subscribe): Mailchimp
• Website analytics: Google Analytics (with consent) and/or Plausible
• Optional site chatbot: Groq API, with minimized prompts (no full client files)
• Plan comparison / enrollment tools we are contracted to use (for example Sunfire Matrix)
• Public CMS and carrier APIs for formularies and provider directories (no member login)

Client records are kept in the United States in our CRM. The public website may be cached on a content-delivery network. See our Information Security Policy.

Cookies

We use cookies needed to run the site, remember cookie choices, and (if you allow them) measure traffic. You can change preferences in the cookie banner or by clearing your browser. See also this policy’s cookie banner on first visit.

Your choices

• Ask for a copy of the personal information we hold about you
• Ask us to correct it
• Ask us to delete it, except records we must keep as a licensed producer
• Opt out of marketing email (service and legally required notices may still be sent)

If you are a California resident, we do not sell or share personal information as those terms are used in the CCPA/CPRA. You may email us to exercise access, deletion, or correction rights.

Medicare and health information

As a licensed broker and TPMO we must keep certain enrollment and marketing records and may be audited. We follow applicable insurance and CMS marketing rules. When we handle health information you give us for plan selection, we use it only for that purpose and for required recordkeeping. Call recordings are kept for quality and compliance.

Children

This site is for adults considering Medicare. We do not knowingly collect information from children.

Changes to this policy

We will post material changes on this page and update the “Last updated” date. For material changes that affect people who are already clients, we will also send notice to the email or mailing address we have on file, or tell you at the next scheduled review, whichever comes first.
